Extensions, Deferrals, Transfers and Withdrawals
Axiom acknowledges that there are circumstances in which students may be unable to engage in, or may choose not to continue, their studies. We are committed to ensuring that all course withdrawals, deferrals, transfers and cancellations are managed in an ethical, fair, and transparent manner.
Where a student has indicated that they wish to withdraw from or defer their studies, it is recommended that they discuss their decision with their trainer and, where applicable, their employer. Axiom will provide information about alternative options available to them, such as varying their units of study or the provision of support.
Students who cannot actively engage in their course or who wish to discontinue their course will be provided with the opportunity to defer or withdraw.
Withdrawals may also be initiated by Axiom when:
the student is not actively participating in the course and is not responding to any attempts by Axiom to support their progress/engage them in the course
the student is an apprentice or trainee, and their training contract is cancelled
as a result of misconduct by the student
Withdrawal – Student Initiated
A student who wishes to withdraw from a course of study must do so in writing using a Course Withdrawal & Deferral Form available from the student support team and on our website.
All withdrawals must be emailed to admin@axiomcompliance.com.au
This form will then be checked to ascertain the reason for the withdrawal and, where relevant, discuss the withdrawal with the trainer, Training Manager and/or student.
Administration will follow the appropriate procedures to close the student’s file, calculate any refund payable and notify relevant regulatory and funding bodies of the student’s withdrawal.
The student will be provided with a Statement of Attainment for units completed
Withdrawal – RTO Initiated
Where a student commences a course but fails to engage in training and/or assessment, they will be contacted by the trainer/Administration either by phone or email to determine whether they wish to continue the course.
If contact attempts are unsuccessful, the student will be sent a follow-up email requesting the student contact Axiom within 2 weeks.
If, after the 2 weeks, the student has not made contact with Axiom, Administration will send a second email requesting that they contact Axiom by a certain date
If the student still does not contact Axiom within the required timeframe in the above email, the Administration will complete a Course Withdrawal & Deferral Form and forward it to the CEO or Training Manager for approval.
Withdrawals for students who have been withdrawn as a result of misconduct will be completed by the CEO or Training Manager.
Administration will follow the appropriate procedures to close the student’s file, calculate any refund payable and notify relevant regulatory and funding bodies.
The student will be notified in writing that they have been withdrawn from the course and will be provided with a Statement of Attainment for units completed.
Deferral
Deferral is a formal process whereby a student’s studies and their enrolment are halted for up to 12 months (maximum).
Deferral must be requested by the student through the completion of a Course Withdrawal & Deferral Form available from the student support team or on our website.
If a deferral requested is granted by Axiom, it will hold the student’s enrolment for the period granted. A notation for deferral will be made in the student’s file in the student management system.
At the end of the deferral time, the student will re-enter the course at the same point at which they deferred and into the same units of competency.
The course entered into the following course deferral will be the most current version available - the student may be required to undertake additional study to ensure course progression into the new course structure.
If the student does not return by the end of the granted deferral period or does not return at all, they will be classified as an inactive student and will be withdrawn 6 months after being classified as inactive.
Extension
If you are unable to complete your online or workplace assessment requirements within your course duration, you may request a one-month complimentary extension through your eLearn dashboard. All extension requests must be submitted before your course duration ends.
Please note:
Your course will be automatically removed from the eLearn platform once your course duration ends
If this is the only course on your account, your eLearn login will also be deactivated
To regain access, you will need to contact our office and apply for a two-month course extension. A fee will apply in this case; see the fee schedule on the Axiom Compliance website
Course extension may only be applied for within the six months following the original course end date
Transfers
If you need to move your course to a future date, Axiom Compliance Learning allows students or business-funded participants to request a transfer before the course commences.
Requests must be submitted in writing.(Email is sufficient)
Transfers will be confirmed by the student support team with your new course date.
One free transfer is permitted per enrolment. Additional transfers may incur a 10% administration fee.
Transfer requests must be made at least 14 days before the scheduled training date.
All fee obligations from the original enrolment or commercial agreement will carry forward to the new course date.
Transfers are not permitted once training has commenced.
